ID Access Cards

Yale University Security Programs has been using an Identification Card Access Control system since the department’s inception in 1995. Since that time we have seen the system grow to 68,000 identification cards using both proximity and magnetic stripe technology. A magnetic stripe cardholder presents his or her badge to the system by swiping the card through a reader, and a proximity badge holder presents his or her card by holding it in close proximity to the reader to gain access.

Our system, Picture Perfect 4.0, is an integrated computer-based security system that provides access control to designated areas within a site or facility. The “owner” of the associated readers in and around facilities is capable of tailoring the access patterns of the users as they see fit.

Access Control Systems Administrators
are responsible for meeting with the “owners,” planning the readers’ layout, functionality, and usage plan, entering the users into the relational database, and maintaining the databases from semester to semester as the University’s population changes.

Identification cards are issued at two locations: (1) the Yale University School of Medicine, Sterling Hall of Medicine, 333 Cedar Street, CE-1 (785-4286) and (2) 246 Church Street, ID Center (432-0165). The identification cards are given to you as new students, staff, and faculty and should be carried at all times. If you lose your identification card, you must contact the ID Center during normal business hours, and after hours contact the control room.

ID Center Information:

All Yale faculty, staff, and students are issued an identification (ID) card bearing their picture and signature. These ID cards must be worn visibly at all times for identification purposes.

ID Center Locations

246 Church Street (432-0165) is the ID Center for individuals who work in the Central/Science area, Yale undergraduate students, and Yale graduate students located in the Central/Science area. ID photo sessions are Monday-Friday, 8:30 a.m.-4:30 p.m. http://www.yale.edu/idcenter

333 Cedar Street, SHM CE-1A (785-4286) is for those individuals who work in the Medical area and Medical School graduate students. ID sessions are Monday-Friday, 8:30 a.m.-12:00 a.m., and 12:45 p.m.- 3:00 p.m.

ID CARD INFO

General Identification

Your ID card identifies you as a member of the Yale University community. You should carry and display it at all times while you are on campus and present it, upon request, to University officials whose assigned responsibilities authorize them to seek proper identification.

Caring for your ID Card

Please treat your ID card with care. Holes, creases, and improperly applied validation stickers will make the card inoperable. Do not bend the card or leave it in direct sunlight, near other sources of heat, or in contact with magnetic fields.

Features

Your photo, name, signature, birth date (undergraduates only), card issue date, and bar code are on the front of the ID card. The bar code is used for identification by Yale libraries.

One magnetic stripe on the back provides access to campus buildings and to Dining Services. The second, smaller, magnetic stripe on the back is used by laundry facilities in University housing and may be used in the future by campus vending machines.

Undergraduates and others requiring access to secured areas, such as residential college gates, have IDs that contain a proximity antenna, which opens the locks in those areas.

Replacement cards

Lost, stolen or damaged ID cards should be reported immediately to the University Security Programs Department at 100 Church Street South, (203) 785-5555.

Replacement cards are available at the ID Card Center during normal business hours. During non-business hours, temporary ID cards are available by calling 785-5555. A uniformed Security officer will meet you in the Phelps Gate Archway to deliver your temporary access card.

To obtain a replacement ID card, you must go in person to the ID Center. For security reasons, some other form of photo identification, such as a driver's license or passport, is required.

When an ID card is lost, stolen, or no longer functions, the ID Center issues a replacement card with the photograph on record. When a cardholder must get a new card type because of a change of status, for example when a former student becomes a faculty member, the ID Center issues a replacement card with a new photograph.

Malfunctioning or accidentally damaged cards are replaced at no charge. Lost, stolen, or deliberately damaged cards are replaced at a fee of $20 for cards with gate and building access capability and $5 for other cards.

Lighting/Survey Problems

Lighting Survey/Problems 203 785-5555: Security Officers perform ongoing surveys of exterior lighting fixtures within and around the campus. You may also report lighting issues directly to either the Medical School or Central Campus Physical Plant offices by dialing, (Med) 203-785-4620 or (Central) 203-432-6888.

Personal Safety Tips

1 No lock works UNLESS you lock it. 
2 Lock public doors or gates to your apartment building, dormitory, or office.
 
3 Never leave a public door propped open, even for a friend.
  
4 Lock your doors when you leave your dorm or apartment.
 
5 Lock your doors before you go to sleep.
 
6 Always lock windows that are accessible from the outside.
 
7 Leave spare keys with a trusted neighbor or friend, never hidden near your door.
 
8 Keep house and car keys on separate keychains. When leaving your car for service or at a parking lot, leave only the car keys.
 
9 Never attach your address to your keychain.
 
10 Yale urges you never to attach your ID tag to your keychain.
 
11 Identify visitors through a window or peephole before opening the door.
 
12 Request service people to show proper credentials before you let them in. If necessary, call the company to verify employment.
 
13 Do not lend your keys or ID tag to service people.
 
14 If a stranger asks to use your telephone, do not let them. Offer to call for assistance for them.
 
15 Report to police any unusual or suspicious activity near your home or room, or around your neighbors' homes or apartments. 
16 Please do not walk alone at night. Use lighted pathways to navigate throughout the University. When well-lit areas are not available, please call 203 432-9255 or 2-WALK (2-9255). A Uniformed Security Officer will be dispatched to your location and escort you to your final on-campus destination. You will recognize these officers by their white shirts, navy pants, prominent SECURITY labels, and an official security badge on the left side of their chest.

Q - How do I order a key?
A - Keys can be ordered through your business office.

Q - Can I get security officer coverage for an event?
A - Yes, security officer coverage can be obtained if you request it at least three days prior to your event. Please submit our online form by clicking here.

Q - How can I find out how best to provide security protection for our department's people and property?
A - Please contact Susan Daria Burhans at 432-8777, or visit the Security Awareness Web site at http://yale.edu/securityawareness/main.html.

Q - How do I go about having a burglar alarm, card access, or other electronic security system installed in my area?
A - Send an e-mail to the University Security Director George Aylward at george.aylward@yale.edu, detailing the location and scope of the request and the reason for the request. The director will assign a member of the Security Project Team to follow through with you.

Q - I have a burglar alarm system in my office. Where is this being monitored?
A - At our own University Security Central Alarm Station located at 100 Church Street South.

Q - I have an existing alarm system, and I need info on the annual service and maintenance charges. Who do I call?

Q - I live in a dorm room, and there's an alarm sounding from a pass-through door. Who do I contact to silence this?
